Position Overview

Motivera Search Group is seeking a highly organized and proactive Business Administrator / Office Manager to manage daily operations, support leadership, and ensure a smooth, efficient work environment. This role is central to maintaining productivity, coordinating administrative functions, and contributing to the overall success of our organization.


Key Responsibilities

Administrative & Operational Support

  • Oversee day?to?day office operations for Motivera Search Group.
  • Manage executive and team calendars, meetings, and travel logistics.
  • Maintain office supplies, equipment, and vendor relationships.
  • Organize digital and physical company records with clear documentation standards.
  • Assist with employee onboarding/offboarding and workspace setup.

Business Administration

  • Support budgeting activities, expense tracking, and financial documentation.
  • Prepare internal and external reports, presentations, and business correspondence.
  • Maintain compliance with company policies and industry regulations.
  • Help identify opportunities to streamline or improve business processes.

Human Resources Support

  • Assist with recruiting coordination, including scheduling interviews and communicating with candidates.
  • Maintain employee records and assist with benefits, PTO tracking, and HR documentation.
  • Coordinate employee engagement activities, training, and company events.

Office & Facilities Management

  • Serve as point of contact for building management, service providers, and vendors.
  • Manage office layout, workstation assignments, and overall workplace organization.
  • Maintain safety procedures, emergency preparedness plans, and facility guidelines.

Communication & Coordination

  • Act as a liaison across internal teams, leadership, and external partners.
  • Support internal announcements and communication initiatives.
  • Manage incoming emails, calls, and inquiries, routing them as needed.

Required Skills & Qualifications

  • Associate’s or Bachelor’s degree in Business Administration, Management, or related field (or equivalent experience).
  • 3+ years of office management, administrative support, or business operations experience.
  • Strong proficiency in Microsoft 365 (Outlook, Teams, SharePoint, Excel, Word).
  • Excellent written and verbal communication skills.
  • Exceptional organizational and multitasking abilities.
  • Professional, approachable, and service?oriented demeanor.
  • Ability to handle confidential information with discretion.

Preferred Qualifications

  • Experience supporting HR, finance, or recruiting teams.
  • Familiarity with project management tools (Planner, Asana, Trello, etc.).
  • Experience in fast?paced or growth?focused environments.

Work Environment

  • Standard office setting with occasional lifting up to 20 lbs.
  • Combination of sitting, standing, and moving throughout the day.

Compensation

$40,000-$60,000 Annually depending on experience and scope of responsibilities.
